Job Description Summary:

TriStar PLM Solutions is looking for an Executive Personal Assistant to perform a variety of administrative tasks and support our company’s CEO. An executive assistant’s responsibilities include managing calendars, making travel arrangements, and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills, and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to the CEO.

POSITION REQUIREMENTS

  • Excellent MS Office Suite – 3 years (preferred)
  • WordPress and web design skills (preferred)
  • Executive Assistant, Personal Assistant, or similar role – 1 year (preferred)
  • Associate degree (preferred)
  • Outstanding organizational, administrative, and time management skills
  • Familiarity with office equipment and applications (e.g. e-calendars and copy machines)
  • Excellent verbal and written communication skills
  • Discretion, integrity, professionalism, and confidentiality

POSITION RESPONSIBILITIES

  • Act as the point of contact for the CEO
  • Manage information flow in a timely and accurate manner
  • Manage executives’ calendars and schedule meetings
  • Make travel and accommodation arrangements
  • Track daily expenses
  • Personal Shopping and running of Personal Errands
  • Manage office supply inventory
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system
  • Available during business hours but also responsive outside of business hours.

COMPENSATION:

  • Full-time M-F employment
  • Competitive salary starting at $60,000/yr (depending on experience and skill set)
  • Bonus Pay Available
